Start with the process, not the trend
The useful question is not “how can we use AI?” but “which task is slow, repetitive or difficult with our current tools?”. AI can classify enquiries, search documents, prepare drafts, summarise data or assist staff and customers. Value depends on a precisely defined problem and suitable information.
Integration is often better than replacement
Many companies do not need another standalone product. AI can be integrated into an existing website, management system or CRM: an assistant can query internal procedures, suggest replies, fill fields or flag anomalies. Integration removes manual steps while keeping work in the familiar flow.
Control, privacy and accountability
A useful system should make clear which data it uses, who can access it, when human review is required and how errors or uncertainty are handled. NIST proposes a structured approach to AI risk management, while the EU AI Act sets obligations proportionate to risk. Even low-risk projects benefit from data minimisation, logging and clear rules.
When AI is not the right choice
If the process is undefined, the data is disorganised or a deterministic automation already solves the problem, AI may increase cost and uncertainty. Compare three options first: improve the process, automate it with rules, or introduce an intelligent model. The best solution is the simplest one that reaches the goal.
