Are you automating work—or just adding another software tool?
Automation is useful when it removes a step, not when it moves the problem to another platform.
Digitising is not the same as automating
Turning a paper form into an online form is digitisation. Having the data checked, recorded, assigned and notified without manual copying is automation. The distinction matters because many companies buy digital tools without truly reducing the number of steps.
Automate stable activities first
The best candidates are frequent, repetitive processes governed by clear rules: sending confirmations, creating tasks, updating statuses, transferring data, reminders and generating documents. If exceptions are constant or the process changes weekly, simplify it before automating it.
Avoid technology islands
A new tool can create yet another database to maintain. Before adding it, verify integrations, APIs, data ownership, export options and operational responsibilities. The goal is not more applications, but a flow in which each item of data is entered once and reused wherever needed.
Control what happens automatically
Every automation should have logs, error alerts, human intervention and an owner. Benefits should be measured in saved time, avoided errors and faster service. European SME digitalisation initiatives explicitly include integrated solutions, analytics, digital payments and automation among transformation tools.
